Clients and bookings

Clients, inquiries and your contact page

Updated October 18, 2026

Clients holds everyone you work for, with their invoices, bookings, galleries and tasks in one place. Your contact page is where new people reach you, and what they send arrives in Inquiries, where you accept or decline it.

If you use another word for clients, such as customers or patients, the portal can use it instead. See Choose what you call your clients.

Add a client

  1. Open Clients and select Add client.
  2. Enter their Name. Email, phone, address and notes are optional.
  3. Select Add client.

Each email address can belong to only one client. To bring over a list from another tool, see Bring your data over.

A client's page

  • At the top: what they've paid so far, what they owe you, their next booking and their open tasks.
  • Invoice starts an invoice for them, and New… starts an estimate, booking, gallery, task or email.
  • Activity lists what's coming up and what has happened across all your tools. Separate tabs list their invoices, bookings, galleries and tasks.
  • Details and Notes each have Edit (for notes, Add until there are some).

In the client list, search by any part of a name, email address or phone number. On a wider screen, each client also shows their next booking and what they owe.

Archive or erase a client

Archive client removes a client from your list without deleting anything. To find them again, filter the list by Archived, and select Restore client to bring them back.

Erase client (owners and admins) permanently deletes the client's details, notes, inquiries, emails, bookings, estimates, galleries, draft invoices and repeating invoices. Invoices you've sent remain under the name "Erased client", with their links turned off. Hours, expenses, tasks and projects remain too. You confirm with your password, and erasing can't be undone.

Your contact page

Your contact page is at yourbusiness.tendroom.com/contact. Owners and admins set it up on Brand, in the Contact page tab. It isn't public until you publish it.

  1. Under What it asks for, choose your questions. Name, email address and a message are always asked. You can also ask for a phone number, a date (a booking calendar, when you use Bookings) and a time (not available with service appointments). Turn a question on, then choose Optional or Required; for a time, you can also choose If date picked.
  2. To change the page's wording, select the text in the preview and edit it. You can also set the layout, background, button color, corners and up to three social links.
  3. To change the confirmation email, switch the preview to Email. Leave Send a confirmation email on so people know their message arrived.
  4. Select Save changes, then Publish. Publishing uses your saved changes.

Once the page is live, changes appear on it as soon as you save them. Copy the Contact page link and add it to your website, social profiles and email signature. Link it from your website has steps for common website builders.

So that replies to the confirmation email reach you, set a Reply-to email under Settings → Business. Without one, the confirmation can't be replied to: Tendroom doesn't give your sign-in email to whoever fills in the form. The contact page has spam protection built in and limits how many messages one visitor can send in an hour.

Respond to an inquiry

When someone sends a message through your contact page, owners and admins receive an email, and Inquiries in the menu shows how many are new. Open an inquiry to reply and decide what to do:

  • Write an email opens your email app with a message addressed to them. Ready-made replies, such as Send pricing or Ask for details (and I'm available when they asked about a date), start the message for you.
  • Accept adds them as a client, or files the inquiry under the client who already has that email address, and books the days they asked for when you use Bookings. Accepting doesn't email them, so reply yourself. If a requested day is blocked, or a requested time is no longer free, you can't accept until you free it.
  • Decline moves the inquiry to Declined. They aren't told, and you can still accept it later.
  • Archive files the inquiry away. Open it and select Move back to New (or Move back to Accepted) to bring it back; one archived before you accepted it can still be accepted.

Appointments booked through a service set to Confirm automatically don't appear in Inquiries. They go straight to Bookings.
