Tasks, projects and recurring tasks

Updated October 18, 2026

Tasks is a board with three columns: To do, In progress and Done. Owners and admins see everyone's tasks. Staff see the tasks assigned to them.

Add a task

  1. Select Add task.
  2. Enter a title. Owners and admins choose who it's assigned to; a task staff add is assigned to themselves. Add a due date, a client or project, and a description if needed.
  3. Select Add task. When you assign a task to someone else, they're emailed.

Drag a task between columns to update it. You can also start a task from a client's page with New…, then Task.

Staff can change a task's status, comment, add photos, and delete tasks they created. Only owners and admins can edit a task's details.

Done tasks move to Archived tasks after 30 days and are deleted 30 days after that, unless they belong to a project.

Photos and comments

Comment on a task to keep notes with it, and add photos of the work, such as before and after. A task can have up to 20 photos of up to 10 MB each, and they count toward your plan's storage. Comments don't email anyone.

Projects

A project groups the tasks for one piece of work. Owners and admins open the ⋯ menu on Tasks, choose Projects, and select + to add one. Enter a name, a client (every task in the project is for that client), a due date and notes, then select Create project. When the work is done, choose Mark completed from the project's ⋯ menu.

Recurring tasks

For work that repeats, such as a weekly visit, owners and admins turn on Recurring when adding a task. Choose a start date (today or later, within the next year), Repeat every so many weeks or months, the days under Repeat on (for weekly tasks), and an end date if there is one. Monthly tasks repeat on the start date's day of the month. Tasks are created 30 days ahead, and the assignee receives an email about upcoming visits.

Manage them from the ⋯ menu on Tasks, under Recurring tasks: Edit schedule, pause or resume, skip an upcoming visit that hasn't been started, or End recurring task. If the assignee is on approved time off or has left, that visit is left unassigned and owners and admins are emailed to reassign it.

New visits stop being created if the task's client is archived or its project is completed.
