Invoices and money

Expenses, mileage and reports

Updated October 18, 2026

Expenses records what your business spends and the miles you drive, with receipts, sorted by tax category. Reports shows what came in, what it cost and what's left. Both are for owners and admins.

Add an expense

  1. Open Expenses and select Add expense.
  2. Enter the date, the amount, what it was for, and its category. Categories follow the lines of IRS Schedule C, so your records are ready for tax time.
  3. If the expense is for a client, choose them, so you can bill them for it.
  4. Add the receipt if you have one: a photo (JPEG, PNG or WebP) or a PDF of up to 10 MB. Photos are resized automatically.
  5. Select Add expense.

Log miles

Select Log miles and enter the date, where you went and the distance. Cents per mile starts at the rate you used last, or at the IRS standard mileage rate for your first trip, and you see what the trip is worth as you type. Mileage is filed under Car & mileage.

Bill a client for an expense

When you use Invoices, an unbilled expense with a client has a Bill button (on a phone, in the ⋯ menu) that starts an invoice with it. The expense then shows On draft or Billed, with the invoice number. See Bill your hours and expenses.

At tax time

Select Export (labeled with the year, such as Export 2026) to download a spreadsheet of the year's expenses, with the Schedule C line for each one. It exports the year of the month you're viewing. Send it to your accountant, or use it to complete your return.

Reports

Reports shows one calendar year at a time, based on the tools you use:

  • Money in (payments received, less refunds), Expenses, Team pay, and Profit.
  • By month: a chart and a table.
  • By client: what each client was billed (invoices sent and paid that year), their expenses and your profit. With timesheets, it adds their hours, the team's cost and what you billed per hour.
  • Not billed yet: hours and expenses not yet on an invoice, grouped by age, with an Invoice link for each client.

Export (labeled with the year) downloads the report as a spreadsheet: each month, then each client.
