Contracts and signatures

Updated October 18, 2026

Contracts sends a contract from your own wording. You sign it as you send it, your client signs it from a private link, and you both get the signed copy as a PDF.

Owners and admins turn it on in Tools. If it isn't listed there, select Request a tool to ask Tendroom for it.

Templates

Select Templates, then New template. A new template starts from an outline: replace anything in [brackets] with your own terms. Archive a template you no longer use; contracts made from it keep their text.

  • Start a line with # for a heading or ## for a smaller one, - for a list, or 1. for a numbered list. To make words bold, put two asterisks (*) before and after them. Leave a blank line between paragraphs.
  • Choose a field from Insert field to put it where you're typing, like {{client.name}}. Fields fill in with the client's details, your business's details from Settings, the day it's sent and the day to sign by.
  • The preview shows how the text reads. A business can keep up to 100 templates.

Send a contract

  1. Select New contract, choose who it's for and what to start from: one of your templates, the outline, or a blank page.
  2. Change the wording for this client if needed, and choose a Sign by day if there's a deadline. Select Save draft to come back to it later.
  3. Select Sign and send. Enter your full name, select the box agreeing to sign electronically, and choose whether to email the link. Your name is your signature for your business.
  4. Your client opens the link, reads the contract, enters their full name, selects the box agreeing to sign electronically, and selects Sign contract.

A contract can't be sent while a field it uses has nothing to fill in (say, the client has no phone number), or while its text has characters the PDF can't show, like emoji. The page lists what to fix.

After you send it

  • Owners and admins are emailed when your client signs. Your client is emailed their signed copy.
  • Select PDF (or Signed copy once signed) to download it. Its last page is a signature certificate: each signer's name, the time, the email address the link was sent to, the IP address and browser, the wording they agreed to, and the contract's fingerprint, which would change if anything in it changed.
  • To change a contract your client hasn't signed, select Edit. It becomes a draft again, the link you sent stops working, and you sign it again when you send it.
  • Select Withdraw to stop a contract from being signed. After its Sign by day, it shows as Expired and can't be signed.
  • A signed contract can't be changed or deleted. When you erase a client, contracts they signed stay as records under Erased client, with their links turned off. Contracts they didn't sign are deleted.

In the US, a typed name with your client's agreement to sign electronically counts as a signature under the ESIGN Act and UETA. A few kinds of document, such as wills, need a different kind of signature. Tendroom doesn't write or check your terms: if you're not sure about them, ask a lawyer.
